Other assessments people take

Let people take APEST, SHAPE or your own test inside GiftWell, from your church's licensed copy, with its own link, QR code and embed. Scored your way, never ranked.

An assessment in Settings → Assessment library → Other assessments can be taken here, not just imported. GiftWell's own assessment, its link, QR code and embed don't change.

What it needs

An assessment can be opened for taking when all of these are true:

  • Its questions are on file, pasted from your church's licensed copy. GiftWell includes no publisher's questions.
  • How it's scored is set (below).
  • Every dimension has at least one question.
  • It isn't archived, and GiftWell hasn't paused it. GiftWell pauses one only if its publisher objects; scores on file stay.

Then open its menu and choose Open for taking. You confirm once that your licence lets people at your church take it online, because a print licence often doesn't cover a website. Who confirmed it, and when, is kept. Close for taking stops new takes; results stay.

How it's scored

In Edit, under How it's scored, set it from your copy:

  • Answers from … to …: the numbers people pick from, for example 1 to 5 or 0 to 3. Up to 11 answers.
  • Answer words: one per answer, lowest first, like Never, Sometimes, Often, Always. Leave them out to show numbers only (1 to 5 uses GiftWell's own words).
  • Each dimension is a total or an average of its answers. An average keeps dimensions with different numbers of questions comparable.
  • Reverse-scored questions end with (R) when you paste them, as many printed keys mark them.

Before it opens, Open for taking shows made-up answers scored your way, so you can check the numbers. Changing the questions or the scoring makes a new version; every result keeps the version it was scored with.

Sharing it

The Share dialog on the Overview, and Share on the assessment's row, has an Assessment picker once one is open. The link, QR code and embed all follow it:

  • Link: giftwell.app/c/your-church/t/apest
  • Embed: the same script as GiftWell's, with data-giftwell-assessment="apest"
  • QR code: in your colors, with your logo

The address is fixed when it first opens, so a printed QR code keeps working if you rename it. An AI agent gets a personal link for one person from add-person with the assessment's id.

What people see

The same branded page as GiftWell's, one question at a time on a phone, with that assessment's own answer words. At the end:

  • Name and email. Results are kept per person, so an email is needed unless a personal link already names them.
  • Age, when your church asks, with the same under-13 rule as GiftWell's own. Mark an assessment adults only when its publisher says so; anyone younger is told kindly and nothing is saved.
  • Share with the pastoral team, the same choice as GiftWell's. Unchecked, the result stays out of exports and agents, and only pastors and up see it on the person's page.

Their scores show in the assessment's own order, each as a bar on its own scale. None is ranked above another, and the page says it was scored the way your church set it up, not the publisher's official report.

They're also emailed a copy of their scores, with a link back to that page. Nobody who may be under 18 is emailed, going by this answer, their birth year or any earlier result. When your church asks before writing to Planning Center, the same checkbox as GiftWell's own appears here too.

Where results go

  • The person's page, under their other assessments, marked taken here, with a line on their timeline.
  • My GiftWell, under Other assessments. Someone who took only this one can sign in too. Download, print and delete my results include these scores. Take it again and Remind me in 6 months sit on each card; the reminder is one email, with an unsubscribe link, and stops if they retake it first.
  • People: the Took filter finds everyone who took a given assessment. Leaders don't see a result someone kept to the pastors.
  • The weekly digest counts the week's takes by assessment. It never names who.
  • Exports: the results spreadsheet on Import and export, export-instrument-results for agents, and the full backup file, which holds each assessment's definition and every result. A result kept to the pastors leaves out who it was unless the backup includes sensitive data, and answers are only in a sensitive backup.
  • Your plan counts a person once a year, whichever assessments they take.

The whole person

APEST, SHAPE or a gifts inventory taken here counts toward who someone is, like scores you import:

  • APEST gives their Ephesians 4 lean. A gifts inventory gives their lead gifts. Their page shows where each came from, for example APEST · Nov 27, 2026.
  • Team suggestions, signals and Ask AI read it like any other result.
  • Planning Center still gets their GiftWell result, with the APEST lean added when it's newer. Someone who took only APEST has that written. Both follow their sharing and Planning Center choices.
  • The result also stays on its own, in the assessment's order, so you can look at it separately.

An assessment your church made up isn't mapped onto GiftWell's sections, and a result someone kept to the pastors doesn't feed their profile; both stay on their own card. Their GiftWell result still leads wherever GiftWell reads only one result, such as the Overview. Deleting a result removes what it added. To keep one test inside GiftWell's own instead, see Questions, wording and the builder.

On a person's page, ⋯ → Personal link to take… gives a link to GiftWell's assessment or any open one, with their name filled in and the result joined to their record. GiftWell sends nothing; pass it on yourself. It's for pastors and up, and isn't offered for someone who may be under 18.
