Follow up through Planning Center
GiftWell contacts no one. It hands Planning Center what it knows, so a workflow card, a list automation or a Clearstream text does the follow-up you already run there.
For: AdminOwner
GiftWell never emails or texts the people in it. Planning Center does, with the workflows, emails and automations your staff already use. GiftWell's part is to put the right person in front of them at the right moment, in one of three ways.
| When | What GiftWell does in Planning Center | Plan |
|---|---|---|
| Someone's result is written | Opens one card in the workflow you choose | Any plan with Planning Center |
| A pastor moves someone's stage, or they become ready for a role | Writes Stage, Ready for and next steps to the GiftWell Roles tab, for your lists to act on | Large |
| You ask who knows someone | Opens a card in the role's workflow, assigned to the person who knows them | Large |
A card when a result arrives
In Settings → Planning Center, under the field map, choose Open a card in this workflow (for example "New gifts results"). The first time a person's result is written to Planning Center, GiftWell adds them to that workflow. It opens one card per person, never a second one while they already have an open card there, and none at all when nothing could be written (no consent, under 18, no exact email match).
The card holds the person and nothing else: no answers, no scores, no note. Your workflow's steps say what happens next.
Stage and roles, through a list
On Large, an admin turns on Roles and Planning Center on the Roles page. GiftWell then keeps a GiftWell Roles tab on each linked person:
- Stage: their pathway stage, by your name for it ("Serve").
- Ready for: the roles open to leaders that they are ready for.
- Belong next step, Become next step, Lead next step: one per track, by your track names.
It writes everyone who changed each night, and within a few minutes for one person whose stage a pastor just moved, or who was just vouched for. A pastors-only role is never written.
To start a follow-up from it in Planning Center People:
- Make a list with a rule on the custom field, for example Stage is Serve, or Ready for contains Guest host.
- In the list's settings, turn on automatic refresh. Planning Center only runs list automations when the list refreshes, which is nightly, or when you refresh it by hand.
- On the list's Automations tab, choose Create automation: when someone is added to the list, add them to a workflow, send an email or add a task.
So a stage moved on Tuesday afternoon is in Planning Center by Tuesday afternoon, and the automation runs at Tuesday night's refresh.
Texts with Clearstream
Clearstream's Planning Center integration syncs the People lists you choose into Clearstream. Pick the same list (everyone at Stage: Serve, say) and text it from Clearstream. Only people with a mobile number in Planning Center come across, and the list has to be visible to whoever set up the integration in Clearstream. Whether Clearstream can text someone automatically the moment they join a synced list depends on your Clearstream setup; check there before relying on it.
Asking who knows them, as a card
When a role names a Planning Center workflow, Who knows them can open a card for the candidate in that workflow, assigned to the person who knows them, with your question as the card's note. If the note can't be added, the card is still there; GiftWell doesn't open a second one.
When a card doesn't open
Planning Center shares each workflow with chosen people. The person who connected GiftWell can be a People manager and still not be allowed to add cards to one workflow. If a card is refused, GiftWell says so on the result. Open the workflow's sharing in Planning Center and give that person permission to add and edit cards, then write the result again.
What never leaves GiftWell
Scores, anything a person typed, Spirit-gift answers (unless you map them and they agreed), what anyone said confirming their gifts, pastoral notes, and pastors-only roles. See Planning Center for the field map and Planning Center lists and workflows for roles.
